Thank you.
Thank you.
Good afternoon ladies and gentlemen.
Welcome to our King George Fields charity board meeting. Sorry. We have to start adjourn and resume
But welcome to everyone here any apologies for absence
the deputy mayor
Is he here? So he's joining us councillor Shafi Ahmed
Councillor Kobe is doing another meeting outside. We've got an event outside
other than that
We're all here
Richard, are you online? Can you hear us, Richard?
Great, thank you. Thank you, Richard and Joanna have joined us.
Great, good. Okay, that's it. Any declarations of interest in one on any other matter?
None.
None, okay. Hello, how are you?
We've got one member of the public.
You okay?
Nice to see you, sir.
Thank you.
Great.
The public benefit guidance is set out.
It's there.
Okay.
The minutes of the 4th of March, 2026.
Are we okay with it?
Anything there burning?
No?
We're okay?
Great.
Thank you.
We've got unrestricted reports for conservation.
4 .1 is the terms of reference of the charity board.
It's the usual standard terms of reference.
I don't think there's any changes from the previous years as such.
Is there anything you want to say to add to it?
Are we okay?
Is it okay?
Are we okay to agree the terms of reference recommendation?
Noted.
Okay, that's done.
Thank you, it's noted.
The next paper is the end of your accounts finance activity and governance update.
Okay, is there anything we want to add, madam?
Anyone?
Nope.
Yep.
It's set out there.
Any comments, questions?
No, it's a noting report.
Yeah, okay.
It's noted.
Next one is the fees in charge review report.
King George's Field Trust.
Do officers want to add anything to what's in the report?
No? Anyone? Go on.
I was just going to add to say about the Arts Pavilion, some of the fees.
We know we do have to increase the fees to kind of the income generation, but generally
in the public that's pavilion, people don't want to book it because of the price.
I'm just saying if we increase it again, kind of, how we're going to really attract the
kind of the community kind of book for everyday events.
Thank you.
I'll ask Samo and someone to come in.
But if you look at the increase, whether it's the art pavilion
or the ecology pavilion, it's modest increase,
given the facility and given where it's located,
fantastic venues.
And if you look at comparable venues,
whether in borough or outside the borough,
I think the price is very competitive, I believe.
Let's say from
Please sorry the pavilion sit with Verena. So Verena would
Discuss the fees and charges for those buildings
Can you use your mic please
Thank you for your patience.
Just to say that there is an option of discounted rate for block bookings.
We are generous, I believe, and they do incur a lot of expenses and the trust has to run.
So my view is the price is reasonable, but we should look at more promotion, a comms strategy.
a common strategy please Sam yeah because there are users potential users
who go outside of the borough for for to use facilities so can we look at comms
strategy please Sam yeah we can I think we're looking at events mr. mayor I
think it was raised at the budget challenge as we are looking at events
in general across the whole estate so we're going to be doing a piece on that
That will include all of the stuff you just mentioned.
So, just about the pricing, if someone was to book a wedding venue, because it is a beautiful
venue and the price isn't as much, how do we make sure people are looking to it for
weddings and family occasions more than the other venues that are available?
More marketing, that's what the mayor said.
We are very fortunate, we've got Art Pavilion, you can get a lot of money from the community,
the College of Pivil in the borough, they are beautiful venues, we just want to make
sure we maximise the potential, use the potential for those venues and hence the income.
We are currently working on the system that they're advertised through to see if we can
improve on that. Currently the system, people going to the system they can view, but then
it generally goes across to calling somebody, having to call somebody to look at that. So
So we're looking at improving the system and increasing what the system does with regards
to giving people the opportunity.
If it's not available, they can cheque the times days.
If it's not available, we'll give them other venues in the borough that are available so
that we maximise the use across the whole estate.
So we're currently doing that in FM and I know that Sarah is working on that with parks
and events as well.
And can I request a meeting with Andreas and Georgie and Hubert in the mayor's office,
please, where we look at, and Sam yourself, look at comms opportunity, what can we do
at regular interviews to promote our facilities that we own and run and manage, including
these two pavilions. Is that okay? That's beautiful, there's huge potential. Is that
okay? Are we okay? Any other questions? Go on, Sabina.
In terms of catering, can any caterer use that facility for people to come forward?
Or does arts people have to have their own specific catering?
Because that's usually a put off, especially in the BAME community.
Yeah, any caterers, if you disagree, let me know, any caterers.
So if someone can attend and provide food, so anyone that's booked in the facility,
so they can arrange arm catering services.
Yeah, okay.
Okay.
Thank you.
So can we agree the recommendation please?
Okay.
So, Gon, you want to say something?
Gon?
I mean, we can't have any gators.
No, no, subjects will be accredited.
Yeah.
Meet the health and safety.
Absolutely.
Yeah, that's what I meant.
Yeah, Gon?
So, um, I just want to know if we've done any kind of work to
See if I understand we have an income target and you know, we're gonna maximise
potential but have we done any work to see how we compare in terms of
charging
In comparison to private kind of events and and venues because if you're trying to target that audience
We're competing with private companies not other kind of local authority
Yeah
change marketing done across the estate with other organisations and we're very competitive
with outside companies.
And just off the back of the catering side as well, we do look at local suppliers with
regards to catering, so there's a lot of work done around promoting local suppliers for
catering for weddings and events.
Can we now agree the recommendation?
Yep, good, thank you.
Great, forward to you.
now we move on to 4 .4 leases update King George Fields Trust.
Okay, there is a, go on. We are agreeing this paper. Okay, thank you. 4 .4 also has a pink
paper attached to it here. Okay, so no that's not, that's not wrong.
It is an exempt paper Mr. Mayor, so it's a member of the public.
So, Ismael, if I could please, that's an exempt paper.
You can always come to my home and have a cup of tea any time.
Okay, thank you, bye bye.
Yeah, yeah, yeah, makes sense.
Richard knows how to keep secrets, so he should be okay.
It's okay, take it down, take it down.
Thank you.
Thank you.
